  • The Space Survey is a vital tool used to maintain accurate space data across UIC’s owned and leased facilities. It directly supports institutional planning, resource allocation, and federal reporting, most notably the Facilities & Administrative (F&A) Rate Proposal. F&A (or indirect) costs are real, institution-wide costs that support sponsored research but aren’t assigned to specific projects. The space survey helps determine what portion of these costs can be recovered by analyzing how university space is used, especially for research. While research units are the primary focus, all departments are surveyed to support informed campus-wide decision-making.

The FY26 Campus Space Survey was conducted May through June of 2026.

  • A virtual survey was completed by designated organization contacts known as gatekeepers.
  • Space gatekeepers for each org reviewed and updated space data through an online tool for FIM review and approval.
  • Finalized data will be archived in UIC’s official space inventory and used in rate negotiations during F&A survey years.
  • The Campus Space Survey supports the F&A process and helps maintain accurate campus space data for room use, assignments, utilization, grant activity, and strategic planning

Historical Space Surveys

Between formal F&A cycles, FIM conducts additional space surveys to ensure ongoing data accuracy. This data also supports a wide range of other institutional reporting, including:

  • Space utilization reporting
  • Administrative cost reporting
  • Code compliance
  • State and federal reporting (e.g., to the National Science Foundation and the U.S. Department of Education)
